This Privacy Policy explains what information we collect, how we use it, and the limited circumstances under which we share it. We do not sell your data. We do not run advertising. Your information is used to provide and support your service, period.
We collect only what we need to provision and maintain your email service.
Account information - when you sign up, we collect your name, email address, domain name, phone number (if provided), company name (if provided), and plan selection.
Billing information - payment is processed through Intuit QuickBooks Payments. We collect the information necessary to generate and send invoices. We do not store your full credit card number on our systems.
Technical and log data - our mail servers and web servers generate standard logs that may include IP addresses, connection timestamps, message metadata (sender, recipient, subject, size), and delivery status. We do not log the body content of your email messages.
Support communications - when you contact us for support, we retain those communications to resolve your issue and improve service quality.
We use the information we collect for the following purposes:
We do not use your information for marketing to third parties, behavioral profiling, or any purpose unrelated to the operation and support of your account.
Payment for services is processed through Intuit QuickBooks Payments. When you provide payment information, it is transmitted directly to QuickBooks in accordance with their security and privacy standards. We do not receive or store your full card number. We retain records of invoices, amounts, and payment status for accounting and dispute resolution purposes.
For information about how Intuit handles payment data, please review Intuit's Privacy Policy at intuit.com/privacy.
We retain account information and billing records for as long as your account is active and for a reasonable period afterward, typically not less than three years, to satisfy legal, accounting, and dispute resolution obligations.
Server and mail logs are retained for operational and security purposes and are typically purged on a rolling basis. Log retention periods vary based on the type of data and operational need.
Upon account closure, your mailbox data is deleted from our servers. If you have selected an enhanced backup plan, backup snapshots are purged within 30 days of account closure.
We implement industry-standard security measures to protect your information, including TLS encryption for all mail connections, encrypted authentication, and access controls on our infrastructure. Our mail servers are configured with DKIM, SPF, and DMARC from account activation.
No method of transmission over the internet or electronic storage is completely secure. While we work hard to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at support@emailhost.us.

These Terms of Service ("Terms") constitute a binding agreement between you and CM Ventures Limited Company ("EmailHost.US," "we," "us," or "our") governing your use of our email hosting services. By using our services or clicking to accept these Terms, you agree to be bound by them. If you are using our services on behalf of a business or other legal entity, you represent that you have the authority to bind that entity to these Terms.
These Terms, together with our Privacy Policy and Acceptable Use Policy, form the complete agreement between you and EmailHost.US. They supersede any prior agreements or representations, written or oral, relating to our services.
We may update these Terms from time to time. When we do, we will post the updated Terms at this URL and update the "Last updated" date above. Your continued use of our services after any update constitutes acceptance of the revised Terms.
To use our services you must be at least 18 years of age and capable of entering into a binding contract. By signing up, you represent that you meet these requirements.
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to notify us immediately of any unauthorized use of your account at support@emailhost.us.
You may not use our services to provide email hosting to third parties on a resale or white-label basis without our express written consent.
Services are billed monthly. Invoices are issued at the beginning of each billing cycle and are due upon receipt. Payment is processed through Intuit QuickBooks Payments.
Your monthly charge is calculated based on the number of mailboxes on your account and your selected plan tier at the time of billing. Changes to your mailbox count or plan tier take effect on the next billing cycle.
If payment is not received by the due date, we will send a notice to the email address on file. Accounts more than 14 days past due may be suspended. Accounts more than 30 days past due may be terminated. See Section 2.5 for details.
You are responsible for all applicable taxes. EmailHost.US will collect applicable taxes where required by law.
All fees are billed monthly and are non-refundable. We do not issue refunds for partial months of service.
You may cancel your account at any time by submitting a cancellation request through our support ticket system at emailhost.raiseaticket.com. Your service will remain active through the end of the current paid billing period and will not renew. No charges will be assessed after the effective date of cancellation.
Important: Upon account closure, your mailbox data will be permanently deleted. Please export or back up any messages you wish to keep before cancelling.
Non-payment. If payment is not received by the due date, we will send a notice to your account email address. If the balance is not resolved within 14 days of that notice, your account may be suspended. Suspended accounts retain data but cannot send or receive mail. If the balance remains unpaid for 30 days following the initial notice, your account may be terminated and data permanently deleted.
Acceptable Use violations. We reserve the right to suspend or terminate accounts that violate our Acceptable Use Policy immediately and without prior notice when, in our judgment, the violation poses a risk to our infrastructure, other customers, or third parties. This includes but is not limited to spam origination and transmission of malware.
Our discretion. We reserve the right to terminate any account at any time, for any reason, with at least 30 days notice and a pro-rata refund of any prepaid but unused service, except in cases of AUP violations where immediate termination is warranted.
Your termination rights. You may terminate your account at any time as described in Section 2.4. Termination does not relieve you of any outstanding payment obligations.
We work hard to keep our infrastructure running reliably and target high availability for all mail delivery systems. However, we do not guarantee any specific uptime level and do not offer a formal service level agreement (SLA). Scheduled maintenance, emergency repairs, and circumstances outside our control may result in service interruptions.
We will make reasonable efforts to notify customers of planned maintenance in advance. We are not responsible for service interruptions caused by circumstances beyond our reasonable control, including internet backbone failures, DNS issues, natural disasters, or actions of third parties.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, EMAILHOST.US AND ITS OWNERS, OFFICERS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, LOSS OF DATA, LOSS OF BUSINESS, OR BUSINESS INTERRUPTION, ARISING OUT OF OR RELATED TO YOUR USE OF OR INABILITY TO USE OUR SERVICES.
IN NO EVENT SHALL OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR OUR SERVICES EXCEED THE AMOUNT YOU PAID TO US IN THE THREE MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM.
Some jurisdictions do not allow the exclusion or limitation of liability for consequential or incidental damages. In those jurisdictions, our liability is limited to the maximum extent permitted by law.
We reserve the right to modify these Terms at any time. We will provide at least 30 days notice of material changes by sending an email to the address on your account. Non-material changes, such as clarifications and corrections, may be made without notice.
If you do not agree to the revised Terms, you must cancel your account before the effective date of the change. Continued use of our services after the effective date constitutes acceptance of the updated Terms.
These Terms are governed by and construed in accordance with the laws of the State of Missouri, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in Butler County, Missouri.
You agree that any claim or cause of action arising out of or related to your use of our services must be filed within one year after the claim arose, or be forever barred.
This Acceptable Use Policy ("AUP") sets out the rules for using EmailHost.US services. It exists to protect the integrity of our infrastructure, the deliverability of your mail, and the experience of everyone on our platform. Use of our services constitutes acceptance of this policy. Violations may result in immediate suspension or termination without refund.
Our services may be used only for lawful purposes and in a manner that respects the rights of others. You are responsible for all activity conducted through your account, including the actions of any users you authorize to access your mailboxes.
If you are unsure whether a particular use is permitted, contact us before proceeding. We would rather answer a question than have to terminate an account.
The following activities are strictly prohibited on our platform:
Illegal activity. Using our services in violation of any applicable local, state, federal, or international law or regulation. This includes but is not limited to the transmission of content that infringes copyrights or trademarks, violates export control laws, constitutes fraud or identity theft, or facilitates any criminal activity.
Harmful content. Sending, storing, or distributing malware, ransomware, viruses, Trojans, or any other code designed to damage, disable, or gain unauthorized access to any system. Transmitting phishing content designed to deceive recipients into revealing sensitive information.
Harassment and threats. Using our services to threaten, harass, stalk, or abuse any individual or group. Transmitting content that constitutes hate speech or incites violence.
Unauthorized access. Attempting to gain unauthorized access to any system, network, or account, or assisting others in doing so. Using our mail infrastructure as a relay or proxy without explicit authorization.
Infrastructure abuse. Taking any action that places unreasonable load on our infrastructure, interferes with other customers' use of our services, or circumvents any technical or security measures we have implemented.
Because our core service is email, we hold our customers to a high standard of responsible email practice. The following rules apply to all mail sent through or hosted on our platform.
No spam. Sending unsolicited bulk email (spam) is strictly prohibited. This includes commercial email to recipients who have not explicitly opted in to receive it, sending email that disguises its true origin, and harvesting email addresses for bulk mailing. We take spam extremely seriously - a single confirmed spam incident may result in immediate account termination.
CAN-SPAM compliance. All commercial email sent through our platform must comply with the CAN-SPAM Act and any other applicable anti-spam laws. This includes providing a valid physical postal address, a clear and functional unsubscribe mechanism, and honest subject lines.
Accurate headers. You may not falsify, obscure, or forge email headers, sender addresses, or other identifying information in messages sent through our infrastructure.
Volume limits. Accounts are intended for normal business and personal email use. High-volume bulk sending - even to opted-in lists - requires prior written approval. Contact us to discuss your needs before undertaking large-scale campaigns. Unapproved high-volume sending may result in rate limiting or suspension.
Content responsibility. You are solely responsible for the content of email sent through your account. We do not pre-screen outbound mail content, but we reserve the right to act on complaints and abuse reports.
Spam originating from our platform damages deliverability for every customer we host. We respond to confirmed spam reports immediately and without exception.
We monitor our infrastructure for signs of abuse including, but not limited to, unusual sending volumes, bounce rate anomalies, blacklist listings, and abuse complaints from third parties.
When we identify or receive a report of a potential AUP violation, we will investigate and take appropriate action, which may include any or all of the following:
For violations that pose an immediate risk to our infrastructure or other customers - particularly spam origination - we reserve the right to act without prior notice.
If you believe an EmailHost.US customer is engaging in abusive activity, please report it to us. Include as much detail as possible, including full email headers for any abusive messages received.
